Add a Driver

In this article, you will learn how to add a driver to your Onfleet organization.  To create or add any drivers, you must first create a team within your organization.

To add a driver, log into your Onfleet administrator or dispatcher account.

Select the "Settings" icon located at the top right corner of the dashboard to open the settings modal. Once in the settings modal, select "Drivers" and then click the "+" button in the bottom-right corner of the "Drivers" tab in your dashboard settings.

Driver Import

The driver import feature can be used to batch-create new Onfleet drivers. The process is very simple: 

  1. Download this CSV file which has the following column headers: worker_name, worker_phone, worker_team, worker_vehicle. 
  2. Fill in the columns with the information for each driver that you want to upload into your dashboard with the following format parameters (important to follow these rules):
    • worker_name: First Last (spaces okay)
              Ex: Jason Terry

    • worker_phone: ########## (no spaces)
              Ex: 2025558722

    • worker_team: Must match the team name in the dashboard exactly (recommended to copy and paste directly from the dashboard)
              Ex: Downtown South

    • worker_vehicle: must be in all caps
      BICYCLE
      MOTORCYCLE
      CAR
      TRUCK

Note: worker_vehicle is a required value and cannot be empty. 

  1. Save your spreadsheet as a .CSV 
  1. While logged in as the organization admin, navigate to Settings > Drivers. Click the "Import..." button, click “Choose File…” ---> select the .csv that you saved ---> upload of drivers should complete automatically

Required Information

Once you are within the driver modal, you will need to add the following required information: 

Name: This can be the driver's first and last name or only their first name.

Phone Number: This will be the phone number the driver uses to log into their Onfleet driver app and will be used to send and receive messages and phone calls.

Transportation: This is the mode of transportation the driver will be used to perform their tasks. This is an important feature since the transportation mode is considered when calculating the driver ETA.

Teams: A driver must be assigned to a team. Adding a driver to a team will allow that team's dispatcher(s) to assign tasks to that driver and see the driver's location and status while on duty.

Optional Information

Vehicle Details: The make, model, year, and color of their vehicle. You can use these details within the SMS communications sent to recipients.

SMS & Tracking Page: This is the information you would like to include in the SMS communication with recipients if you use the {workerName} tag or the driver image.

Route Optimization: This is the information used when calculating the Route Optimization, such as the driver address (to start or end task) and the driver-vehicle capacity.

Driver Invitation

Once added, the driver will receive the following SMS notification:

 

"You have been added to Onfleet by [Organization Name]. Your temporary password is: 12345. Download the driver app here: https://onfleet.com/download/app"

 

The type of smartphone the driver is using will be automatically detected, and the correct version of the app will be downloaded (iOS or Android). They must be using iOS 8.0 or above, or Android 4.4 or above.

Additionally, once added, you will be able to view the temporary password for drivers in the driver modal accessed by double-clicking on a driver in the sidebar. This is helpful if, for some reason, the driver did not receive the SMS, you can supply the driver with this temporary password so they may log in.

Upon login, the driver will be prompted to set a permanent password and must set themselves to "On-Duty" for the password change to take effect.

As soon as you have added the driver to Onfleet you can start assigning tasks to them, even if they haven't installed the driver app yet.

Remove a Driver

There are two ways to remove a driver from an organization.

To remove the driver, open the setting modal on the dashboard, and select "Drivers". You can then double-click the driver to open the driver profile, scroll to the bottom and select "Remove Driver".

Alternatively, you can select the driver's name from the list of drivers and select the "-" symbol from the bottom right corner of the driver's name list.
